Network and Technical Readiness process

Board IT leads will be granted access to an account in EQAO’s e-assessment platform. This account will provide access to technical readiness guides, as well as to secure information, such as the SEB/Kiosk-configuration files and passwords for schools choosing these options. If you do not have access to your board IT account and are an assigned EQAO board IT contact, e-mail EQAO at info@eqao.com.

The board IT account contains a Network Readiness Checklist with specific network, bandwidth and device-configuration tasks that need to be completed for the schools in the board to be able to administer the assessment.

Likewise, before school administrators and teachers can start administering assessments, school administrators must complete an Administration Checklist. This checklist ensures that all schools meet the technical requirements to administer the assessment.

In addition to giving access to the Network Readiness Checklist, the board IT accounts allow board IT personnel to monitor scheduled and ongoing assessment sessions at the schools in their board. Board IT professionals can see the classes scheduled to write, which school they are from, their scheduled date and time, the associated teacher/invigilator and the status of each assessment session.

School administrators should consult their designated board IT professional to confirm details relating to the technical requirements. Below is the Technical Readiness Checklist that school administrators will need to complete before the assessment window:

The school or the school board has added “no-reply@eqao.vretta.com” to its safe sender e-mail settings list (this e-mail address may be required for the creation of teacher accounts).
All classes participating in the assessment are reflected in the e-assessment system. Review Classes

All participating students are listed. Review Student List
The accommodation needs of each student are indicated in the e-assessment system. Identify students who require the Braille or alternative version of the assessment. The alternative version is designed for students who are unable to complete any part of the assessment online. Indicate whether these students require the audio MP3s (with or without full audio descriptions of mathematics graphics). Review Student Accommodations
All devices have been configured to run the assessment, with the appropriate direct access or with a lockdown browser software if installed (if applicable and completed with the support of an IT representative).

Direct Access

Student will be able to access the assessment directly by logging in through the EQAO login page.
Students will access the test through the EQAO login page. If they perform an action that is not permitted (e.g., navigating away from or minimizing the page they are completing on the test), the teacher will receive a notification in the account and can choose to pause the student or allow the student to continue taking the test if there is a legitimate reason for the student’s action.
Students can access the test in this way if they are using the following:

Supported Devices:
Windows devices, Macs, Chromebooks, Android tablets and iPads (Note: For iPads, the assessment will not be in full-screen mode.)

Supported Browsers:
Chrome, Firefox, Edge or Safari

Login process:
  1. Launch the browser and open the EQAO website: www.eqao.com
  2. Select Login from the top right-hand corner of the web page.
  3. From the Login page, select the Login button in the Students section: https://eqao.vretta.com/#/en/login-student
  4. Enter the access code provided by your teacher and your OEN and then click Sign In.
Alternative Secure Access

Should your school wish to use an enhanced lockdown option, the Secure Exam Browser (SEB) and/or Kiosk application can be used.

Secure Exam Browser
If using Windows, Mac or iPad devices:
The Safe Exam Browser software has been installed or imaged on these devices. Note: It is recommended to use the latest SEB version. The previous SEB version should be uninstalled from all devices. Use the SEB links to the right to download the latest version. The SEB-configuration file has been made available to the school’s technical specialist so that it can be downloaded or pushed onto these devices. Direct access will be used for students with accommodations who need access to software that is not compatible with SEB/Kiosk.

Kiosk Application
If using Chromebook or Android devices:
The Kiosk application has been installed on these devices, and teachers can enable it prior to the assessment.
Direct access will be used for students with accommodations who need access to software that is not compatible with SEB/Kiosk.
The installation and validation of the SEB software or Kiosk application on the testing devices should be the responsibility of your school or school board’s IT representative.

Teachers will need to enter the four-digit SEB Password or Kiosk Password on each device in order to log the student in to an assessment session. This password can be found in your checklist. Provide this password to all teachers.
Note: If a student has an assistive-technology accommodation checked off in the “Accommodations” section of the student information page and requires specific accessibility software that is not compatible with the SEB or the Kiosk application, the student will be able to access the assessment directly by logging in through the EQAO login page.

Ensure the school has access to a working scanner (e.g., photocopier) to scan any paper response forms into PDF format for uploading to the e-assessment system.

Prior to Administering the Assessment

Determine when the classes in your school will take the assessment, and schedule the assessment sessions, including the introductory session. This step may also be completed or modified by the teacher. Schedule Assessment Sessions
Paper response forms will not be required for the sample test, as you will not be required to scan and upload student responses to open-response questions. You may provide plain paper for all students to handwrite their responses to the open-response questions in the language component of the sample test. Introductory Session: It is important to provide an opportunity for your students to access the tool exploration and sample test in order to familiarize themselves with the assessment platform, including the types of questions and tools, prior to administering the assessment sessions and stages. The sample test is comprised of two sessions for the language component and two stages for the mathematics component. These sessions and stages can be completed on four different days. The opportunity to write on different days will also help in confirming whether students will complete the open-response questions in the language component of the assessment online or on a paper response form. Ensure you are set up to print paper assessment response forms for the assessment for students who will be handwriting their answers to open-response questions in the language component of the assessment. Grade 3 students will be defaulted to using paper assessment response forms. The assessment response forms will be available for printing in the Teacher view or by clicking the “Print Paper Response Forms” links to the right. Students who are identified in the e-assessment system as completing their responses online will not have a paper assessment response form printed. Note: The teacher must identify in the e-assessment system whether each student in the class is completing the open-response questions online or on paper. The teacher or school administrator can print the forms for these students once the selections have been made in the e-assessment system. Students using Braille or a printable alternative version of the assessment must still use the paper assessment response forms that are assigned by student to respond to the open-response questions, or these students can have their responses scribed onto the paper assessment response form or into the online version of the assessment. The teacher must transcribe the student’s responses to all other questions into the e-assessment platform using the student’s login. All assessment material, including paper response forms and Braille versions of the assessment, must be kept secure and confidential at all times before, during and after the assessment. After the Assessments are Administered

Scan paper response forms for students who provided handwritten responses to the open-response questions for the language component. Save the scans on a secure school network location or flash drive. Upload the PDF file by clicking the Upload Response Sheets button located above the invigilation table. Note: Do not upload responses to the sample test. Link to the scanning page
Review all images of the uploaded response sheets, and confirm that all have been properly uploaded and are legible. Click Submit student responses to EQAO on the invigilation page.

Store paper response forms with handwritten responses in a secure location until Individual Student Reports (ISRs) are generated; then shred the paper response forms.

Validate all student information by the end of the Test Window. Ensure all student information is accurate for reporting purposes. Click Confirm that all student data has been validated.

Access Individual Student Reports once they have been made available by EQAO.
Note: You will not be able to access the ISRs until you have validated all your student data.
Once you have accessed the student reports, delete all scans of the paper forms, and shred any paper copies.
